The intern will work in collaboration and under the supervision of relevant staff within the Events Coordination Department. The intern will support the Events Coordination Department (ECD) in the smooth preparation and delivery of meetings and events by providing administrative, logistical, and organisational assistance. This role helps ensure efficient workflows, well-maintained documentation, and timely coordination of event-related activities. The intern will contribute to a wide range of tasks that facilitate the overall functioning of the department.

Job Responsibility

  • Support the Events Coordination Department (ECD) in the smooth preparation and delivery of meetings and events by providing administrative, logistical, and organisational assistance
  • Help ensure efficient workflows, well-maintained documentation, and timely coordination of event-related activities
  • Contribute to a wide range of tasks that facilitate the overall functioning of the department
  • Assist with basic administrative tasks such as document preparation, filing, and updating tracking tools
  • Help maintain shared resources and support the organisation of internal workflows
  • Support the sorting, renaming, and organisation of digital and physical files according to internal guidelines
  • Contribute to keeping shared folders structured and up to date to facilitate information access
  • Monitor event-related inboxes, sort incoming messages, and draft initial replies to simple queries
  • Help prepare communication templates and support consistent information sharing
  • Assist in scheduling meetings, preparing materials, and taking basic notes
  • Help update action lists and ensure follow-up on pending items
  • Support the preparation of procurement documents and the collection of quotations
  • Help follow up with suppliers on deliveries and services
  • Assist in preparing event materials (badges, documents, kits) and updating participant lists
  • Support logistical coordination before and during events, including on-site assistance when needed
  • Contribute to post-event tasks such as collecting feedback and organising documentation
  • Provide occasional support to the Travel Team during peak periods
  • Help maintain calendars, tracking tools, and shared folders
  • Contribute to improving templates, checklists, and simple procedures

Requirements

  • Currently enrolled in a post-graduate academic programme
  • or Have graduated no longer than 1 year ago from a post-graduate programme or equivalent studies
  • Field of study: Communication, events, or business school
  • Excellent command, both written and spoken, of English (at ease to present and brief internal and external stakeholders in English)
  • Excellent communication skills (verbal, written, interpersonal)
  • At ease with basic software to create and manage documents: Word, Excel PowerPoint, Microsoft Teams, Zoom, OneDrive, SharePoint
  • Highly oriented to events production
  • Very organized ways of working
  • Analytical ability: problem definition and establishing research questions
  • Problem-solving
  • Ability to work without any issue within short deadlines, pressure and manage non expected situations
  • Willing to execute any necessary task to get an event production done
  • Pro-active mindset
  • Genuinely curious and engage in the work and mandate of the WOAH
