A well- respected Chicago based law firm is seeking an Intellectual Property Docketing Specialist. This role plays a key part in maintaining and monitoring deadlines for patent, trademark, and copyright matters, and works closely with the Docketing Supervisor to ensure the accuracy and integrity of the firm's IP calendar system.
Job Responsibility:
Use specialized IP docketing software to input, track, and update all deadlines and required actions for domestic and international IP matters
Coordinate and oversee docket-related projects, ensuring tasks are completed accurately and on schedule
Apply firm procedures and departmental guidelines when managing docket entries and maintaining records
Produce tailored status reports for attorneys, paralegals, and administrative staff as needed
Communicate regularly with legal teams to confirm completion of daily docket tasks and clear outdated or satisfied deadlines
Requirements:
In-depth understanding of docketing practices and formal requirements for IP matters
Highly organized, detail-oriented, and capable of evaluating issues and proposing solutions
Strong communication skills and the ability to work both independently and collaboratively in a fast-paced environment
Familiarity with processes governing U.S. and foreign patent and trademark filings
Experience using online IP databases and tools such as PAIR, ePCT, and TSDR
Ability to handle time-sensitive responsibilities and work efficiently under pressure
An associate degree or higher is preferred
equivalent experience or training will also be considered
Three to five years of IP docketing experience in a legal or corporate setting is ideal
Proficiency in Microsoft Word, Excel, and Outlook is required
Prior experience with CPi or similar docketing platforms is beneficial
