Job Description

We are looking for a detail-oriented Inpatient Scheduler to support patient registration and surgical scheduling activities for a Contract position based in Palo Alto, California. In this role, you will coordinate appointments, manage case intake, and serve as a key point of contact for patients, clinical staff, and providers in a fast-paced healthcare setting. The ideal candidate is organized, responsive, and comfortable balancing frequent phone communication, medical record handling, and scheduling accuracy while maintaining a high standard of service.

Job Responsibility

  • Coordinate pre-operative visits, imaging appointments, and follow-up care for both new and returning patients
  • Manage case intake and procedural scheduling while maintaining accurate calendars and resolving appointment conflicts as needed
  • Partner closely with nurse practitioners, providers, and clinic staff to support daily scheduling operations and patient access
  • Handle a high volume of incoming calls, answer patient questions, and provide clear updates regarding appointments and next steps
  • Scan, upload, and route medical documentation, including radiology images and outside records, through designated systems and fax platforms
  • Generate and review operational reports for multiple locations to support scheduling oversight and workflow management
  • Assist leadership with schedule maintenance by opening, adjusting, and blocking appointment templates when necessary
  • Maintain ongoing communication with patients after procedures to support follow-up scheduling and continuity of care
  • Participate in staff meetings and complete cross-training across related functions to provide team coverage and workflow flexibility

Requirements

  • High school diploma or equivalent required
  • associate degree preferred. Familiarity with medical terminology is preferred. Proficiency with PC-based applications, including Microsoft Word and Microsoft Excel. Ability to work effectively with scheduling systems, office software, and other function-specific computer tools. Strong verbal and written communication skills with the ability to adapt messaging to different audiences. Demonstrated customer service skills with the ability to solve problems, manage competing priorities, and remain composed under pressure. Ability to build collaborative working relationships with providers, nurses, staff, and patients in a team-oriented environment. Strong organizational skills with the ability to plan, prioritize, and maintain accuracy in a high-volume setting.
