Job Description

A national law firm is seeking an Information Management Specialist/Records Specialist to support their Information Governance team in the Naples, FL office. The Information Management (IM) Specialists are a part of the Information Governance (IG) program. Their main responsibilities include directly supporting attorneys, case teams, and administrative teams in managing client and firm information per firm standards and processes. Requiring an attention to detail and a commitment to excellent customer service, this position offers an introduction to managing information in the legal environment to those who are new to the field.

Job Responsibility

  • Support the IG Operations Manager in implementing the firm's IM standards and processes in assigned office(s)
  • Ensure all onsite containers are indexed and located within the firm's information tracking application, iCompli
  • Process requests from legal case teams for containers and barcodes
  • Manage all locations designated to the custody of the onsite IM Specialist(s)
  • Assist the firm's Matter Mobility team in processing physical information into and out of any assigned office(s)
  • Collect all physical information associated with a client's request to transfer the information
  • Review per firm standards and memorialize results in iCompli
  • Index physical information provided to firm into iCompli
  • Assist the firm's Retention/Disposition team in processing physical information identified as eligible for destruction
  • Collect all physical information identified for destruction
  • Review per firm standards and memorialize results in iCompli
  • Provide required metrics on office(s) IM activities
  • Support firmwide IM training to office personnel
  • Collaborate with the IG Operations Manager and other IM Specialists to improve operations for the firm and assigned office(s)
  • Assist with other duties, as assigned

Requirements

  • Bachelor's degree or two to three years of professional services experience, law firm experience is ideal
  • Excellent computer skills - high proficiency with Microsoft Office products (Word, Excel, PowerPoint, Outlook)
  • Experience in Information Management(preferred)
  • Ability to work both independently and collaboratively with individuals at all levels and across all offices
  • Superior communication skills and excellent attention to detail
  • Collaborative, team-oriented approach to work
