Job Description

As an Influence Admin Assistant, you’ll play a critical role in supporting the execution and organisation of influencer campaigns across multiple platforms. Working closely with Influence Managers, you’ll manage sourcing, outreach, negotiation follow-up, and campaign tracking to ensure that every initiative runs efficiently and delivers results.

Job Responsibility

  • Conduct large-scale outreach to influencers across platforms (Instagram, TikTok, YouTube)
  • Maintain and organise a comprehensive influencer database by niche, audience type, engagement rate, and historical performance
  • Ensure all outreach efforts align with campaign briefs, brand voice, and platform-specific strategies
  • Continuously expand and refresh the influencer pool through trend monitoring and research
  • Drive high-volume influencer outreach with a strong focus on response quality and conversion, aligned with ambitious monthly targets
  • Evaluate influencer profiles based on performance indicators and brand alignment
  • Use standardised scoring and selection frameworks to ensure consistency and efficiency
  • Support the negotiation process and help secure terms that fit the campaign scope and budget
  • Ensure rapid turnaround on contracts and communication to meet campaign deadlines
  • Contribute to a high monthly volume of successful creator negotiations, with a strong focus on speed, clarity, and efficiency in deal turnaround
  • Support the execution of influencer activations and content delivery within agreed timelines
  • Use structured checklists and tools to reduce execution gaps or delays
  • Monitor deliverables to ensure they meet content, timing, and performance expectations
  • Collaborate with Influence Managers to ensure all campaign steps are documented and executed smoothly
  • Maintain 100% accuracy across tracking systems covering outreach, negotiations, content delivery, and performance
  • Use CRM and project management tools to log every interaction and result
  • Produce weekly and monthly reports highlighting campaign progress, creator performance, and improvement areas
  • Integrate learnings from data into future outreach and campaign strategies
  • Act as a liaison between Influence, Creative, and Marketing teams to streamline campaign coordination
  • Ensure briefs, deliverables, and updates are shared accurately and on time
  • Provide regular internal updates on campaign progress and any blockers
  • Attend weekly strategy syncs to align on priorities, KPIs, and process improvements

Requirements

  • 1–2 years of experience in an administrative, coordination, or project management role (internships included)
  • Highly organised with excellent attention to detail and time management
  • Clear communicator, capable of managing multiple touchpoints across teams
  • Comfortable using CRM systems, Airtable, Notion, or similar project management tools
  • Passion for influencer marketing, social media, and digital brand building
  • Ability to work independently and proactively in a fast-paced environment
