Job Description:

The Import & Export Operations Level II Associate supports daily export and logistics operations with a strong focus on air freight coordination, cold chain integrity, and time-sensitive shipments. This role works closely with drivers and operations staff to ensure efficient pickup and delivery schedules while maintaining strict compliance with documentation, regulatory, and temperature-controlled handling requirements.

Job Responsibility:

  • Coordinate export shipments while maintaining product integrity and on-time delivery
  • Verify shipment paperwork for accuracy and regulatory compliance
  • Prepare Master Air Way Bills for outbound shipments
  • Book shipments requiring pre-export scheduling
  • File SED documentation for applicable shipments
  • Monitor shipment notes for pending “ok to send” approvals
  • Respond promptly to gateway and operations system requests
  • Track and replenish packaging materials and gel packs
  • Ensure gel packs are properly pre-conditioned and stored
  • Monitor shipment manifests, inbound and outbound flight activity, post-flight reports, and dispatch screens
  • Replenish shipments pending export within the gateway office
  • Monitor live animals held onsite to ensure proper care and compliance
  • Maintain and update the airport dispatch board, highlighting special delivery instructions
  • Monitor driver activity to ensure timely pickups and deliveries
  • Maintain cold chain compliance for shipments on FDA hold
  • Answer phones and provide directions to drivers as needed
  • Escalate complaints or operational issues to management immediately

Requirements:

  • Air import export experience preferred
  • Cold chain logistics experience strongly preferred
  • Background in import export or air freight operations
  • Proficiency in Microsoft Office
  • Ability to lift between 25 and 70 pounds
  • Availability for early morning shifts and weekends
  • Professional demeanor with strong communication skills
  • High sense of urgency and accountability
  • Ability to multitask in a fast-paced operational setting
  • Working knowledge of logistics systems and operational screens
  • Strong understanding of Cold Chain Management principles
  • General knowledge of airport operations and surrounding service areas
