Job Description:

The Import & Export Operations Associate, Level 2, supports air import and export activities with a strong emphasis on cold chain logistics and shipment integrity. This role works closely with drivers, airport dispatch, and operations teams to ensure time-critical, temperature-sensitive shipments are handled accurately and efficiently. The initial training period focuses on packaging processes, including temperature-controlled packaging, which is essential to maintaining product integrity for export shipments. This position is well suited for candidates with prior air import/export exposure who can operate in a fast-paced, compliance-driven environment.

Job Responsibility:

  • Coordinate export shipments while maintaining cold chain integrity
  • Work collaboratively with drivers and operations staff to support efficient pickup and delivery schedules
  • Verify shipment documentation and attached paperwork for accuracy and compliance
  • Prepare Master Air Way Bills and complete required shipment bookings
  • File SED documentation for shipments requiring export declarations
  • Monitor shipment notes for clearance and “ok to send” status
  • Respond to gateway and system messages promptly and accurately
  • Monitor inventory of packaging materials and gel packs, ensuring timely replenishment
  • Ensure gel packs are properly pre-conditioned and stored
  • Monitor shipment manifests, inbound and outbound flight activity, post-flight reports, and dispatch screens
  • Replenish shipments pending export within the gateway office
  • Monitor live animals held onsite to ensure proper care and compliance
  • Coordinate and maintain the airport dispatch board, highlighting special delivery instructions
  • Monitor driver activity to ensure timely pickups and deliveries
  • Maintain cold chain compliance for all shipments, including those on FDA hold
  • Answer incoming calls and provide directions or support to drivers as needed
  • Report complaints, exceptions, or operational issues to management immediately

Requirements:

  • Air import and export operations experience preferred
  • Cold chain logistics experience strongly preferred
  • Understanding of temperature-sensitive and time-critical shipments
  • Proficiency with Microsoft Office applications
  • Ability to lift and move packages weighing approximately 25 to 70 pounds
  • Strong attention to detail with a high sense of urgency
  • Professional demeanor and ability to multitask in a fast-paced environment
  • General knowledge of airport operations and surrounding regional logistics
  • Ability to learn and navigate transportation and shipment tracking systems
  • Strong communication and coordination skills
  • Morning shift availability required, starting as early as 6:00 AM
  • Weekend availability required
  • Flexibility to support operational needs and shipment volumes
  • Ability to lift, carry, and move packages weighing up to 70 pounds
  • Ability to stand, walk, and work in an active operations environment
  • Repetitive handling of packages and materials throughout the shift
