Job Description:

Responsible for a variety of administrative & clerical tasks and be the main contact person for daily site needs and ensure efficient and smooth day-to-day operation with support of Senior/ Lead Technician. Provide support to all Site personnel, Head office & Client as required. Duties further include assisting with arranging meetings, travel, minutes; preparing reports, maintain appropriate filing system and managing stores/ spare parts.

Job Responsibility:

  • Attend to calls on site and ensure they are transferred to the right individuals, or take an appropriate message
  • Filing of DTSI’s and permits
  • Updating and control of timesheets
  • Toolbox talk record keeping
  • Maintain and file vehicle inspection reports
  • Maintain and file PPE inspection reports
  • Maintain and file all subcontractor HSE documents
  • Maintain records of all site employees training and ensure early notification of expiry
  • Attend weekly service meeting, take minutes and distribute them
  • Check and submit site expenses for authorisation
  • Prepare and update applicable reports
  • Check and submit travel claims
  • File incident reports
  • File and follow-up on insurance claims until car repaired (dents, windscreens, etc.)
  • Submit monthly standby schedule and ensure changes are made when required on Remote Weekend Dispatching team
  • Prepare and maintain register of all Company assets handed over to technicians and collect all on termination/ resignation, including, but not limited to, PPE, tools and IT equipment
  • Assist with ordering and control of stationery and consumables, ensuring adequate stock at all times
  • Capturing Man-hours of all technicians and subcontractors and prepare monthly HSE report
  • Assist Lead Technician in compiling monthly HSE reports for submission on 1st day of month
  • Updating of HSE documents / policies
  • Arrange and attend to site inductions, and the filing of induction documents
  • Assist with recording of incidents, near misses and other safety reports
  • Submission of safety walk cards
  • Ensure that daily and weekly checks are completed and filed and monthly checklist / registers are completed by the 15th of every month
  • Manage access of storeroom by keeping accurate records of what was taken out and returned with guidance of the Senior/Lead Technician
  • Manage issuing and returning of Company property, including radios, tools and equipment
  • Report any defective radios, tools and equipment to site supervision
  • Follow up and track parcels with courier companies under guidance of Materials Handler & Manager
  • Prepare weekly reports of all deliveries and outstanding purchase orders
  • Prepare and submit weekly reports of stock consumption
  • Keep accurate records/ report of defect parts to be posted on SAP
  • Prepare requisition note for purchaser and file them on site
  • Liaise directly with Buyer to ensure all processes followed until delivery
  • Responsible for storage housekeeping with support from Senior/ Lead Technician
  • Accept and check deliveries on site and ensure documents (delivery notes, invoices, etc.) are scanned to head office and originals kept on file
  • Prepare parcels to be returned and couriered from site and spares to be returned back overseas for investigations, repairs, etc.
  • Manage and track all tools on site by means of tool register under guidance of Senior/Lead Technician & Material Handler/ Manager
  • Responsible to assist with stock taking (quarterly, bi-annually & annually)
  • Submit weekly/monthly stock reports for consumptions, issued stock and defect

Requirements:

  • Grade 12 certificate
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills in English
  • Strong organizational skills with the ability to multi-task
  • Proficiency in MS Office (MS Word, Excel and PowerPoint)
  • Computer literate
  • Working knowledge of office equipment
  • Customer focused
  • Willing to travel when required
  • Valid drivers licence

Nice to have:

  • Safety Hazards analysis
  • Power converters and PLC programming will be an advantage
  • SAP & or JD Edwards experience desired
