Job Description:

My client is currently looking for an experienced Office Manager with financial advisor experience to join their firm in Newcastle-under Lyme. The successful candidate will support the operations team and Directors to ensure the smooth day to day running of the business, acting as key point of contact for escalated issues and support with their resolution. They will be responsible for managing a team of IFA support staff effectively, and ensuring all processes and procedures are adhered to, fostering accountability and operational excellence.

Job Responsibility:

  • Handling escalated client experience issues and liaising with directors as appropriate for resolution
  • Ensure that all client requests and related tasks are dealt with professionally and effectively, delivering a positive experience for clients
  • Working in partnership with HR to instil a culture and discipline of performance management, setting clear performance objectives, where team members are regularly encouraged and appraised on their performance, highlighting, and celebrating excellence, identifying strengths and addressing under performance
  • Act as escalation point for all staff and assist managers to help them identify issues
  • Awareness of operational, regulatory and conduct risk, which may impact on the business. Responsible for reporting to their line manager any risk which may impact on the business
  • Ensuring all back-office systems and procedures are kept up to date and that staff are using systems effectively
  • Management of staff workloads and task management day to day
  • Delivering training on processes and procedures for internal data management
  • Management of office facilities
  • Working with the Directors, ensuring regular communications are maintained with internal and external stakeholders including the management of logistics for these
  • Line Managing support staff

Requirements:

  • Experience of office management or senior ifa administration experience from within an independent financial advice business
  • Experience dealing with third party providers
  • Proven experience within Financial Services
  • Line Manager experience
  • Confidential, reliable, and trustworthy
  • Ability to influence, persuade and build good relationships with people at all levels of the business
  • Self-motivation, resilience and a clear focus on attention to detail and high-quality output
  • Ability to work collaboratively with the first line manager colleagues and build strong relationships and networks
  • Excellent organisational skills and able to adapt to changing priorities with strong time management skills and positive outlook
  • Understanding and knowledge of Compliance requirements and FCA guidelines
