We are looking for an HR Specialist to support core human resources activities for a Long-term Contract position based in San Jose, California. This role focuses on maintaining organized employee records, assisting with onboarding coordination, and providing day-to-day administrative support to the HR team. The ideal candidate brings strong attention to detail, comfort working with HR systems, and the ability to handle sensitive information with professionalism.
Job Responsibility
Maintain accurate personnel files by organizing, reviewing, and processing HR documents in both paper and digital formats
Support onboarding activities by preparing employment paperwork, coordinating new employee documentation, and assisting the HR generalist with employee setup tasks
Enter and update employee information in HRIS platforms to help ensure records remain complete and current
Assist with routine HR administrative functions, including document tracking, filing, and responding to internal requests for support
Help uphold confidentiality standards when handling employee information and regulated records
Contribute to employee relations support by routing questions appropriately and assisting with administrative follow-up tasks
Monitor HR documentation for completeness and escalate missing or inconsistent information when needed
Requirements
Experience supporting human resources administration in a detail-focused office environment
Working knowledge of HRIS systems and the ability to maintain accurate employee data
Familiarity with onboarding processes and documentation requirements for new staff
Ability to organize large volumes of records while maintaining a high level of accuracy
Understanding of employee relations support practices and appropriate handling of sensitive matters
Experience working with confidential information in a regulated environment, including HIPAA-related standards
Strong communication, time management, and administrative coordination skills
