Robert Half is seeking an experienced HR Specialist to support a critical records audit and compliance project in Reading, PA. This temporary assignment will focus on reviewing, organizing, and updating employee documentation to ensure compliance with company and federal standards.
Job Responsibility:
Conduct thorough audits of employee work authorization records to ensure documents are complete and adhere to established company and regulatory standards
Identify any discrepancies or gaps in employment records, and alert HR management for corrective action
Systematically file and maintain both physical and electronic documentation to enable quick access in the event of an internal review or external compliance inquiry
Safeguard all sensitive personnel information and strictly follow confidentiality and data privacy protocols
Evaluate personnel files for required documentation, confirming all items are readable and appropriately organized
Assist in the transition and verification of HR files into a cloud-based storage system
Apply consistent categorization and labeling practices for digital HR records to support long-term file management and retrieval efficiency
Segregate and organize confidential files (such as medical records) according to compliance and privacy guidelines
Monitor project status using tracking tools, providing regular updates to HR leadership regarding progress and outstanding issues
Communicate directly with HR team members about record gaps or any required employee follow-up
Maintain a clear, methodical workflow to complete all project tasks accurately and on schedule
Adhere to company recordkeeping standards, privacy policies, and retention rules throughout the duration of the project
Requirements:
Experience in human resources administration, including compliance and documentation
Proficiency with HR information systems (HRIS) and related software
Familiarity with HR documentation auditing or compliance projects, preferably with I-9 and personnel file management
Working knowledge of digital document management systems (cloud-based preferred)
Strong organizational skills and attention to detail
Ability to handle sensitive information with discretion and confidentiality
Excellent communication and collaboration skills
Prior experience in compliance audits or similar HR functions preferred
