We are looking for an HR Specialist to support a non-profit organization in San Jose, California through a Contract assignment. This role focuses on day-to-day human resources coordination, employee support, and accurate handling of HR information and documentation. The ideal candidate brings strong administrative judgment, comfort working with HR systems, and the ability to manage sensitive information with discretion in a regulated environment.
Job Responsibility
Provide administrative support to the human resources team, ensuring records, forms, and routine processes are completed accurately and on time
Coordinate calendars, arrange meetings, and assist with scheduling for HR-related discussions, interviews, and team activities
Support onboarding activities by preparing documentation, tracking pre-employment steps, and helping new hires move smoothly through the hiring process
Maintain and update employee information within HRIS platforms while helping preserve data accuracy and consistency
Respond to employee questions on general HR matters and direct more complex issues to the appropriate internal contacts
Assist with employee relations activities by documenting information, organizing follow-up actions, and supporting timely communication
Handle confidential personnel information with a high level of care, including materials connected to HIPAA-regulated environments when applicable
Contribute to HR projects and operational tasks, including process updates or system-related coordination as assigned by the department
Requirements
Experience supporting human resources administration in an office or organizational setting
Working knowledge of HRIS tools and the ability to enter, maintain, and review employee data accurately
Familiarity with onboarding processes and standard onboarding documentation practices
Exposure to employee relations support and the ability to communicate effectively with staff at different levels
Ability to manage confidential information with discretion and follow privacy requirements in HIPAA-regulated environments
Strong organizational skills with the ability to coordinate schedules, prioritize tasks, and meet deadlines
Clear written and verbal communication skills combined with solid attention to detail
