As a HR Service Specialist, you will play a pivotal role in providing essential HR administrative support to our organization. Working closely with the HR team, you will be responsible for handling various HR transactions, assisting with employee and manager inquiries, ensuring accurate and timely processing of HR-related tasks, and ensuring compliance with company policies and procedures, and contributing to a positive employee experience. The HR Service Specialist reports to the Sr. Manager of HR Ops and HR Shared Services, has regular and on-going interaction with multiple internal and external stakeholders. Internal stakeholders include, but are not limited to, all areas of HR including field leaders and other functional leaders (e.g. Legal, Operations, , Information Technology, etc.).
Job Responsibility:
Respond to employee inquiries and tickets related to HR policies, benefits, systems, and general HR information in a timely and professional manner
Provide administrative support to the HR team, including data entry, filing, and document management
Assist with the hiring and onboarding process by ensuring new hire paperwork, processing, and verifying employment eligibility support is provided
Maintain accurate and up-to-date employee records in the HRIS system
Process employee status changes, such as promotions, transfers, and terminations, ensuring compliance with company policies and procedures
Collaborate with payroll to ensure accurate and timely processing of employee data
Coordinate and schedule HR-related meetings, interviews, and training sessions
Assist with HR projects, such as employee engagement initiatives, performance management, and HR policy updates
Maintain a high level of confidentiality and handle sensitive employee information with discretion
Stay updated on HR best practices and industry trends to contribute to process improvements and efficiency
Requirements:
Knowledge of human resources practices, methods, and processes
1+ years of HR experience, preferably in a shared services or generalist role
Solid understanding of HR principles, practices, and employment laws
Proficiency in HRIS systems and MS Office Suite (Word, Excel, PowerPoint)
Strong attention to detail and accuracy in data management and reporting
Excellent verbal and written communication skills, with the ability to effectively communicate complex information to team members at all levels
Strong customer service orientation and ability to build rapport and effective relationships with team members and stakeholders
Ability to handle multiple priorities and work in a fast-paced, dynamic environment
Demonstrated problem-solving and decision-making skills
Strong organizational and time management abilities
Ability to maintain confidentiality and handle sensitive information with discretion
Nice to have:
Knowledge/ prior experience using ADP Vantage and Formstack
Knowledge/ prior experience using Jira or other ticketing system tools
Professional HR certification (e.g., SHRM-CP, PHR) is a plus
