Job Description

Under the direction of the Director, HR Compliance, the HR Onboarding Manager will assist with overseeing the InnovAge onboarding process, including leading managers, new hires, and potential candidates through all pre and post hire steps. The HR Onboarding Manager will also collaborate with various stakeholders to enhance the onboarding process and maintain high standards of customer service and compliance.

Job Responsibility

  • Ensures the organization complies with federal, state, and local healthcare regulations
  • Assists with delegating, completing, and overseeing onboarding duties, including reporting requests, candidate volume, candidate tracking updates, and communication tracking
  • Leads team projects and objectives under the supervision of the Director of HR Compliance
  • Reviews vendor invoices and tracks and resolves discrepancies
  • Assists with training new HR Onboarding Specialists
  • Establishes best onboarding operational practices to support compliance
  • Identifies and implements process improvements to enhance the efficiency and effectiveness of the onboarding process
  • Escalates complex or high-risk cases for resolution and guidance
  • Guide new InnovAge candidates in navigating the pre-employment process, providing one to one support when needed
  • Actively engage with candidates and motivate them to complete onboarding steps promptly through excellent customer support and timely response in a fast-paced environment
  • Coordinate and communicate with third party vendors/clinics on behalf of candidates for all pre-employment screenings, and manage the pre-employment process
  • including background checks, drug screenings, and health screenings
  • Gather and process all new hire documents, including employment authorization documents, and ensure they are compliant with CMS, state, and local requirements as well as InnovAge’s internal guidelines
  • Diligently track applicant progress, and clearly communicate expectations and deadlines via phone, text, or email
  • Supports I-9 employment verification and reverification administration
  • Maintain expert level knowledge of compliance requirements by state with the ability to explain and navigate a variety of issues
  • Troubleshoot candidate issues with technology or understanding state-specific onboarding requirements, as well as InnovAge’s internal platforms
  • Operate with a high degree of professionalism and confidentiality while handling sensitive information
  • Liaise directly with various partners and stakeholders throughout the onboarding process as needed
  • Support other HR administrative tasks as needed
  • Audits team accuracy and compliance with background checks and all personnel clearing requirements
  • Performs data entry duties accurately and promptly for all InnovAge workers
  • Supports the HR team in compiling and maintaining personnel files
  • Provides weekly onboarding updates to the recruiting team
  • Ensures all new hire paperwork is complete and accurate
  • Assists with scheduled data audits of employee data to ensure accuracy and completion as needed
  • Fulfills ad hoc reporting duties as needed
  • Assists in audits as needed
  • Supports HR Operations projects as needed
  • Tracks and files required HR documents
  • Potential travel between local InnovAge worksites

Requirements

  • Bachelor’s degree in Human Resources, or a related field from an accredited college OR equivalent combination of education, training, and experience
  • Five years of Human Resources Support experience
  • One year of Human Resource Lead Position Experience
  • Five year of administrative support experience and basic knowledge of Microsoft Office Suite
  • Basic knowledge of federal and state laws regarding employment
  • CMS and State Governing Body Regulation Knowledge

Nice to have

  • Master’s degree in Human Resources, or a related field from an accredited college OR equivalent combination of education, training, and experience
  • Five (5) years of HR Onboarding experience across multiple states
  • Three (3) year HR compliance or corporate compliance experience
