Job Description

We are seeking a highly organized and proactive HR & Administration Officer to play a pivotal role in ensuring smooth office operations and providing essential HR, administrative, and financial support across our Belgium and Netherlands offices.

Job Responsibility

  • Support the full Hire‑to‑Retire process for Belgium and the Netherlands in close collaboration with local and global HR teams
  • Manage end‑to‑end recruitment and act as a true HR Business Partner to our management team
  • Oversee social declarations and interactions with government agencies, health insurance, and external payroll providers
  • Coordinate employee onboarding and offboarding, including contracts, amendments, certificates, and employee files
  • Maintain and update HR databases, employee records, and HR policies in coordination with Global HR and Legal
  • Handle leave management (vacation, sickness, maternity, etc.) and ensure compliant declarations
  • Prepare and verify payroll variables in IFS (absences, overtime, bonuses, etc.)
  • Manage performance and evaluation cycles, compensation & benefits, and follow up on career development and training
  • Organize employee engagement initiatives such as CSR actions and team‑building events
  • Serve as the point of contact for all employee queries and support conflict management when needed
  • Coordinate daily office operations including mail handling, supplies, and relationships with service providers
  • Manage office facilities, maintenance, health & safety compliance, and sustainability reporting (CO₂ emissions, biannual reports)
  • Act as key liaison with the France finance department, ensuring smooth coordination and validation of invoices
  • Oversee vendor contracts, office budgets, and financial obligations
  • Organize logistics for internal events, onboarding sessions, and corporate gatherings
  • Manage IT‑related topics for office devices and phone subscriptions
  • Oversee fleet and mobility programs, including vehicle contracts and related expenses
  • Maintain internal databases (Alumni, CRM, suppliers, internal contracts) and ensure compliance with firmwide procedures
  • Manage insurance plans (group, hospitalization, workplace accident) and employee well‑being initiatives
  • Supervise time tracking and ensure reporting compliance
  • Support the Managing Partner with agenda management and travel arrangements

Requirements

  • Minimum 5 years of experience in a similar role
  • Fluent in Dutch and English
  • good command of French is an asset
  • Excellent MS Office skills and strong communication abilities
  • Highly flexible, approachable, and comfortable handling multiple priorities
  • Detail‑oriented, structured, and able to work both autonomously and proactively
  • Strong learning mindset with an ability to adapt quickly and manage emotions in challenging situations constructively
  • Open to travel — approximately two times per month to the Netherlands
  • Enjoys working in an international, multicultural team environment
