Job Description

We are seeking a detail-oriented Human Resources Coordinator to support employee onboarding, leave administration, personnel record management, and HR operations. The ideal candidate will have experience in human resources administration, employee benefits, leave management, customer service, and personnel data analysis within a large and complex organization. This role requires strong organizational, communication, and analytical skills, along with the ability to maintain confidentiality while providing exceptional support to employees and management.

Job Responsibility

  • Process completed onboarding documentation and distribute required forms and information to internal and external stakeholders
  • Coordinate onboarding activities with payroll, retirement, benefits, and other related agencies and departments
  • Maintain accurate personnel records and ensure compliance with organizational policies and procedures
  • Assist with various HR administrative functions and special projects as assigned
  • Monitor and track employee leave requests, leave approvals, and return-to-work activities
  • Support administration of Family and Medical Leave (FMLA), Paid Family and Medical Leave (PFML), workers’ compensation, and other leave programs
  • Coordinate with internal leave management teams to ensure compliance with federal, state, and organizational regulations
  • Maintain leave records and update HR systems to ensure accurate employee leave tracking
  • Respond to employee inquiries regarding personnel policies, leave programs, benefits, and employment records
  • Conduct research and provide accurate information related to HR policies, procedures, and personnel administration rules
  • Deliver high-quality customer service while maintaining professionalism and confidentiality
  • Track and monitor personnel and leave-related data using HR systems and databases
  • Conduct research, analyze personnel information, and prepare findings, reports, and recommendations
  • Assist with internal audits, compliance reviews, and information requests
  • Support HR reporting and workforce data analysis initiatives
  • Draft letters, forms, memorandums, instructions, and other internal and external communications
  • Prepare documentation related to HR processes, employee actions, and leave administration
  • Maintain organized and accurate HR records and documentation
  • Ensure compliance with federal and state employment laws, HR policies, and organizational procedures
  • Maintain confidentiality of personnel information and safeguard sensitive employee data
  • Support HR compliance activities and policy implementation efforts

Requirements

  • Experience in Human Resources, Personnel Administration, Employee Relations, Benefits Administration, or Leave Management
  • Strong organizational and administrative skills
  • Excellent verbal and written communication skills
  • Ability to handle confidential information with discretion
  • Strong analytical and problem-solving abilities
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Access
  • Ability to manage multiple priorities and meet deadlines

Nice to have

  • Human Resources certification (PHR, SHRM-CP, SHRM-SCP, or equivalent) preferred
  • Experience working in a unionized environment
  • Knowledge of FMLA, PFML, workers’ compensation, and other leave programs
  • Understanding of HR policies, procedures, and employment regulations
  • Experience supporting large organizations or government agencies
  • Knowledge of compensation and salary administration guidelines
  • Experience working with HRIS systems and personnel databases
  • Ability to analyze data, identify trends, and provide recommendations
