Seeking a General Affairs/Facilities Manager with strong English communication skills and proven experience managing receptionist and front-office operations. This role is responsible for ensuring smooth office operations, high-quality administrative services, and effective facility and building management across multiple locations.
Job Responsibility:
Lead and manage the receptionist function, building a high-performing and service-oriented team
Oversee daily front desk operations in coordination with internal stakeholders, boutiques, security, and facility service providers
Provide hands-on support for postal and courier services
Maintain a professional and well-organized building environment
Support the planning and execution of internal and external events, including pre-meeting coordination
Oversee daily cleaning and maintenance operations within the building
Manage team members, including team development and performance oversight
Monitor daily operations and working conditions for all team members, including staff with disabilities
Coordinate closely with outsourced service providers to ensure service quality and compliance
Manage general affairs and office operations for both Tokyo and Osaka offices
Lead and develop a team of administrative staff
Manage office supplies and printed materials, including business cards and company envelopes
Oversee contracts and administrative processes related to legal matters
Manage vendor relationships and service contracts
Develop and maintain Business Continuity Plans
Collaborate closely with the Facility Manager on operational matters
Oversee the maintenance and overall management of the office building
Develop and execute mid- to long-term maintenance plans (e.g., 5-year plans)
Work closely with business units and brands to provide guidance on facility-related projects
Develop office and facility strategies that support business growth, including corporate and retail environments
Lead and manage office construction and renovation projects
Plan and optimize office space utilization, resources, and workplace improvements
Provide support and advisory services for construction and renovation of retail stores and boutiques
Promote sustainability initiatives in collaboration with functional leaders
Plan and execute social contribution and corporate responsibility activities
Requirements:
Fluency in Japanese and business-level proficiency in English
