We are looking for an HR Coordinator to join media organization in Saint Paul, Minnesota in a Contract to permanent capacity. This position supports essential human resources operations with a strong emphasis on employee service, payroll coordination, and departmental billing activities. The ideal candidate brings a responsive, detail-focused approach and is comfortable handling a steady flow of questions, records, and administrative tasks while helping maintain accurate HR documentation.
Job Responsibility
Provide administrative support for payroll processing on a biweekly schedule, helping prepare information and complete related follow-up tasks
Monitor shared HR and payroll mailboxes as well as the employee records ticketing queue, ensuring timely and thorough responses to staff inquiries
Resolve routine employee questions independently and communicate status updates promptly when additional research is needed
Enter, track, and manage departmental invoices, including recurring monthly insurance billing and other regular payables
Maintain organized and accurate HR records through high-volume data entry and careful document handling
Assist with onboarding activities and screening coordination to support a smooth new employee experience
Support the ongoing effort to convert employee files into digital formats and keep electronic records current and accessible
Use HR systems, payroll tools, and spreadsheets to verify information, update records, and support day-to-day HR administration
Requirements
At least 2 years of experience in human resources coordination, HR administration, or a closely related support role
Prior exposure to payroll support and billing or invoice processing in a detail-focused setting
Strong customer service skills with the ability to respond to employee questions clearly, courteously, and within expected timelines
Experience working with HRIS platforms
familiarity with UKG Pro is preferred
Proficiency in Microsoft Excel and confidence handling detailed, high-volume data entry tasks
Knowledge of onboarding processes, background checks, and general HR compliance practices
Strong organizational skills and attention to detail when managing inboxes, tickets, and employee documentation
