Join our expanding HR team as an HR Assistant, where you’ll play a key role in keeping our people operations running smoothly in a dynamic, global environment. The HR Assistant supports the HR Business Partner in the day-to-day HR operations and employment-related activities. The role ensures smooth execution of HR processes, assists with various employee lifecycle activities, and ensures efficient coordination within the HR team, contributing to a well-functioning and efficient HR environment. This is a fully in-office role based in Kraków.
Job Responsibility:
Maintaining accurate and up-to-date information in the HR system and related databases
Organizing, compiling, and updating company personnel records and documentation
Preparing and managing legal HR paperwork, including employment contracts, annexes, and other employment-related documents
Handling day-to-day employee requests and inquiries, ensuring timely and professional support
Providing administrative assistance throughout the employee lifecycle, including on-boarding, benefits coordination, and documentation handling
Supporting payroll preparation by assisting in collecting and verifying relevant data (absences, leaves, benefit input etc.)
Review and respond to official documentation and claims (e.g. bank inquiries, employment statements) in consultation with HR BP
Maintaining confidentiality and data accuracy across all HR records and processes
Supporting the daily HR Operations by adhering to the established internal processes, policies as well as legal requirements
Supporting recruitment activities at the final stages, such as tracking candidates at the offer stage and ensuring smooth transition to on-boarding
Contributing to various HR projects and provide support to senior HR colleagues as needed
Requirements:
Bachelor’s degree in Human Resources or a related field (e.g., humanities, management, law)
2+ years of experience as an HR Assistant, HR Administrator, or in a similar role
Strong command of English and Polish (C1 level or higher)
Excellent time-management and organizational skills
Ability to prioritize tasks effectively and communicate clearly
Proactive and independent approach to work
Ability to learn quickly and adapt effectively
Exceptional attention to detail
High level of discretion and commitment to confidentiality
Strong problem-solving skills
Proficiency in Microsoft Office 365
Understanding of HR processes and practices, along with foundational knowledge of labor law
