Job Description:

We are seeking a detail-oriented and proactive HR Assistant to join our team. The ideal candidate will play a pivotal role in ensuring smooth onboarding and offboarding processes for employees while maintaining rigorous legal compliance for all documentation. This position is essential to the success of the HR function and requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Job Responsibility:

  • coordinate and execute employee onboarding processes, including collecting and verifying new hire documentation such as tax forms (e.g., W-4s), I-9 employment eligibility, and direct deposit authorizations
  • ensure all employees complete mandatory compliance training programs during onboarding
  • generate offer letters and employment agreements in compliance with internal policies and applicable laws
  • communicate effectively with new hires to ensure a welcoming and streamlined transition into the organization
  • facilitate employee offboarding, ensuring the return of company property, final paycheck processing, and completion of exit interviews
  • process resignation letters or termination paperwork following legal guidelines and company protocols
  • archive employee records and ensure proper retention practices as mandated by federal and state laws
  • regularly audit employee files to ensure compliance with labor laws, regulations, and company standards (e.g., EEO, FLSA, ADA, HIPAA)
  • assist in monitoring compliance related to employee visas and work authorizations where applicable (e.g., H-1B, OPT)
  • stay current with HR regulations and documentation requirements, acting as a resource for leadership to implement any necessary policy changes
  • maintain meticulous personnel records using HRIS systems and uphold confidentiality protocols related to employee information
  • respond to employee inquiries regarding HR-related policies, benefits, documentation, and procedures
  • collaborate with other HR team members to support overarching departmental goals and initiatives
  • assist with ad hoc administrative tasks, including calendar scheduling, meeting notes, and reporting

Requirements:

  • High school diploma required
  • bachelor's degree in Human Resources, Business Administration, or a related field preferred
  • 3 years of experience in an HR or administrative role (internship experience may be considered)
  • familiarity with onboarding and offboarding processes, as well as employment law compliance
  • proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with HRIS systems is an asset
  • excellent attention to detail, interpersonal communication skills, and discretion in handling sensitive information
