The HR Operations Specialist is a key member of the People team, responsible for delivering efficient, compliant, and employee-centered HR operations across the U.S. and Canada. This role manages core employee lifecycle processes, maintains accurate HR data and documentation, supports managers and employees with day-to-day HR operations needs, and helps improve systems, workflows, and policies that enable scale.
Job Responsibility
Manage and execute core HR operations across the employee lifecycle, including onboarding, offboarding, employee changes, job/manager/location changes, and employment documentation
Prepare and process employment-related documents such as offer-related paperwork, employment agreements, amendments, letters, and separation documentation in a timely and accurate manner
Ensure employee files, records, and HR systems are accurate, complete, and maintained in accordance with internal controls, audit requirements, and applicable privacy and employment regulations
Partner with Talent Acquisition and hiring managers to deliver a smooth and consistent onboarding experience for new hires across the U.S. and Canada
Coordinate offboarding activities across relevant stakeholders to ensure timely, compliant, and employee-friendly separations
Maintain employee data within HR systems and related trackers, ensuring data integrity, process consistency, and reporting accuracy
Support recurring and ad hoc people reporting, including headcount, turnover, onboarding metrics, organizational changes, and other workforce data
Identify trends, gaps, and operational risks in HR data or processes and escalate or address them proactively
Support HR systems enhancements, process documentation, workflow improvements, and operational automation opportunities where appropriate
Serve as a primary point of contact for employees and managers on day-to-day HR operations questions, policies, and process guidance
Provide support on routine employee relations and people matters such as probationary periods, attendance/leave tracking, documentation, and performance process administration, escalating more complex or sensitive issues appropriately
Help ensure employees and managers have a positive experience navigating People processes through timely communication, follow-through, and strong customer service
Help ensure HR practices and documentation are compliant with applicable federal, state/provincial, and local employment requirements across the U.S. and Canada
Support implementation, localization, communication, and administration of HR policies, SOPs, and operational procedures
Maintain confidentiality and exercise sound judgment in handling sensitive employee information
Support internal audits, documentation requests, and People governance processes
Partner closely with Payroll, Finance, Legal, IT, Talent Acquisition, and other stakeholders to ensure aligned and efficient HR operations
Contribute to People projects and initiatives that improve scalability, compliance, employee experience, and operational efficiency
Document and continuously improve HR workflows, templates, and standard operating procedures
Provide operational support during periods of organizational change, growth, or process transformation
Requirements
4–6 years of experience in HR Operations, People Operations, HR Generalist, or a similar HR support role
Strong knowledge of employee lifecycle processes, HR administration, and operational HR best practices
Experience supporting HR operations in the U.S.
exposure to Canada HR operations is strongly preferred
Working knowledge of employment law and compliance fundamentals in the U.S.
familiarity with Canadian employment practices is a plus
Experience working with HRIS platforms and maintaining employee data with a high degree of accuracy
Strong organizational skills, attention to detail, and ability to manage multiple priorities simultaneously
Strong communication and stakeholder management skills, with the ability to support employees and managers effectively and professionally
Demonstrated ability to handle confidential information with discretion and sound judgment
Process-oriented mindset with a focus on continuous improvement, efficiency, and service delivery
Nice to have
Experience in a fast-paced, scaling, or matrixed environment
Experience supporting multi-state U.S. populations and Canadian employees
Exposure to HR reporting, dashboards, workflow design, or process automation
SHRM-CP, PHR, or equivalent HR certification is a plus
