As Group and Events Planning Executive, you will act as the primary point of contact for clients from confirmation through to execution, managing every detail to ensure a seamless and memorable experience. You will coordinate group bookings and events across bedrooms, function spaces, and catering, working closely with Sales and operational teams to ensure alignment, maximise revenue, and deliver exceptional service. This role requires a balance of precision, creativity, and commercial awareness, with the confidence to manage multiple priorities in a fast-paced environment.
Job Responsibility
Act as the main liaison for clients, managing all aspects of group and event planning from confirmation through to delivery
Coordinate accommodation, meeting space, catering, and additional services with accuracy and attention to detail
Build strong client relationships and ensure a high level of service throughout the planning journey
Proactively identify opportunities to upsell and enhance the guest experience
Prepare detailed function sheets, timelines, and internal communications
Collaborate with Sales, Catering, and operational departments to ensure seamless execution
Maintain accurate records including contracts, deposits, rooming lists, and billing details
Conduct site inspections and present tailored proposals and ideas to clients
Support forecasting and financial planning through accurate tracking and reporting
Participate in pre-event meetings and operational briefings
Respond promptly and professionally to all enquiries across multiple channels
Requirements
Previous experience in groups, events planning, or hotel operations
Strong organisational skills with the ability to manage multiple projects simultaneously
Excellent communication and relationship-building skills
Good commercial awareness with a focus on revenue generation and guest experience
Attention to detail and a structured approach to planning
Confidence working cross-functionally with multiple departments
A proactive and solution-focused mindset
