Responsible for managing all group reservations, ensuring compliance with contractual conditions regarding accommodations for both parties. This role is key to delivering an exceptional guest experience and optimizing hotel revenue.
Job Responsibility:
Manage Blocks and Rates: Create group blocks in Opera upon receiving the sales contract, enter blackout dates, and set up rate codes as agreed
System Updates: Keep Opera PMS and Golden S&C updated in coordination with the Sales Group Coordinator
Group Communication: Inform group contacts, Events Manager, and Sales Manager about group activity (pickup, attrition) and provide block reports with confirmation numbers
Rooming List Processing: Complete rooming list within 48 hours of receipt
Financial Compliance: Follow deposit and credit card procedures and deliver pickup/attrition grids to Finance
Pre-Arrival Control: Conduct pre-arrival checks in Opera and Golden, attend key meetings (Pipeline, Group Resume, Pre-Con), and monitor progress using dashboards
Issue Management and Support: Report system anomalies to IT, resolve complaints professionally, and handle special requests from groups
Requirements:
High school diploma required
technical or university studies in Tourism, Hotel Management, or related fields are a plus
Minimum 2 years of experience in reservations and group management in luxury hotels or resorts
Experience in customer service within premium hospitality environments
Proficiency in Opera PMS and preferably Golden S&C
Knowledge of basic financial processes (deposits, credit policies)
Fluent English and Spanish (spoken and written)
Exceptional attention to detail and ability to handle critical information
Excellent interpersonal communication skills and teamwork abilities
Strong organizational skills, proactivity, and ability to work under pressure
