Job Description

Temporary Grants Administrator position providing administrative support to a new project in the charity sector, ensuring smooth operations and support for internal and external stakeholders

Job Responsibility

  • Handle incoming and outgoing email correspondence via shared inbox
  • Develop and maintain effective office systems including electronic filing
  • Ensure documentation is compliant with GDPR
  • Answer queries about the project and relay messages accurately
  • Provide secretariat support for online and in-person meetings including drafting agendas, sending invitations, and taking minutes
  • Contribute to internal and external communication activities

Requirements

  • Experience in developing and maintaining administrative systems
  • Commitment to delivering high-quality customer service

  • Provide strategic oversight of post-award grant portfolios, ensuring both current-year execution and long-range financial sustainability across multiple projects, funding sources, departments, institutes, and centers
  • Lead long-range financial planning for sponsored projects, including multi-year forecasting, scenario modeling, and alignment of grant expenditures with project milestones, staffing plans, and institutional priorities
  • Provide strategic financial technical assistance and guidance to the ADR, project PIs, and teams across a complex portfolio
  • Manage post-award grant budgets with PIs across the project lifecycle, including spending projections, expense monitoring, forecasting, identification of potential cost overruns or allowability issues, and supporting budget modifications
