Job Description

The Graduate Assistant (GA) for Housing Facilities Operations at Eastern Kentucky University serves as a member of the professional staff overseeing the daily operations of residence halls and on-campus apartment facilities. Reporting to the Associate Director of Housing Facilities Operations, the GA plays a vital role in maintenance coordination, custodial oversight, and service delivery assessment. This position serves as a primary liaison between housing staff, facilities technicians, and campus partners to ensure a high-quality living environment for EKU students. This position will work out of the Housing and Residence Life office in the Whitlock Building.

Job Responsibility

  • Facility Operations & Maintenance Management - Work Order Oversight: Monitor and manage the web-based work order system (WebTMA)
  • ensure timely completion, follow-up, and closing of student-generated requests. Facility Inspections: Conduct regular building walks throughout the semester and during summer term to track project progress, cleanliness, and structural safety. Technical Support: Assist with hands-on facility tasks including lock battery replacements and troubleshooting electronic door/fob access issues. Logistics & Inventory: Assist in departmental inventory management, coordinate Student Housing Technicians, and maintain the housing facilities calendar. Data Analysis: Assist leadership in analyzing work order data to identify recurring facility trends and needs. Other Duties as Assigned: Tasks not provided as part of this posting, but related to the scope of work of this position
  • Staff Supervision & Training - Student Staff Leadership: Assist in the recruitment, selection, and training of Student Housing Technicians. Administrative Oversight: Manage student staff schedules, verify/submit timesheets, and coordinate time-off requests. Safety & Onboarding: Facilitate training for new student staff regarding job tasks, utility cart training, and university safety procedures
  • Communication & Liaison Services - Stakeholder Coordination: Serve as a bridge between Residence Hall Coordinators (RHCs), Associate Directors (ADs), and the facilities maintenance team. Resident Notifications: Create and distribute uniform signage for facility outages items
  • update communication templates in StarRez for facilities and technology issues. Crisis Response: Respond to university emergencies and closures, including adverse weather, to ensure facilities remain protected and operational
  • Special Events - Departmental Events: Provide essential logistical support for major housing events, including Fall Move-In, Spring Move-Out, Light Up Your ResLife, HRL End of Year Awards Banque, etc.

Requirements

  • Bachelor’s degree required. Must be enrolled into an EKU Graduate School program and maintain a minimum 3.0 GPA
  • Full and unrestricted Driver's License
  • Proficiency in Microsoft Office and ability to learn specialized software (WebTMA, StarRez). Strong administrative, organizational, and time-management skills
  • Ability to work 20 hours per week, including an on-call rotation. Ability to multitask and availability to work evenings and weekends as needed
  • Experience working in a Facilities Services role preferred
  • Experience living and/or working in a residence hall preferred
