TTM Healthcare are proud to partner with our client in the public sector in Westmeath to recruit a temporary Grade III Clerical Officer. Location: Athlone. Hours: 9am to 5pm – 35 hours full time hours. Duration: Temporary 3-month initial contract. Pay scale: €17.31p/h – €26.79p/h (depending on previous relevant public sector experience). Available for Immediate Start. Role Summary: Provides front-of-house and administrative support, acting as the first point of contact for visitors, callers, and clients while ensuring the smooth and efficient day-to-day running of reception and office operations.

Job Responsibility

  • Greet visitors and clients in a professional, friendly, and welcoming manner
  • Manage a high volume of incoming phone calls and emails, directing enquiries appropriately
  • Schedule appointments, meetings, and room bookings as required
  • Handle correspondence, including preparing, typing, and distributing letters and documents
  • Maintain accurate records, databases, and filing systems (electronic and hard copy)
  • Process incoming and outgoing post and deliveries
  • Provide administrative support to management and team members
  • Respond promptly to queries from staff, clients, and the public
  • Ensure the reception area is organised, presentable, and operating efficiently at all times
  • Assist with data entry, reports, and general office tasks
  • Handle confidential information in line with data protection and privacy guidelines
  • Support colleagues and contribute to a positive team environment

Requirements

  • Previous experience in a receptionist, front desk, or administrative role
  • Excellent communication and interpersonal skills
  • Professional telephone manner and customer service skills
  • Strong organisational and multitasking abilities
  • Ability to work independently and prioritise workload in a busy environment
  • Proficient in Microsoft Word, Excel, Outlook, and general office systems
  • High level of accuracy and attention to detail
  • Reliable, punctual, and professional in appearance and conduct
  • Ability to maintain confidentiality and handle sensitive information appropriately
