We are recruiting for a highly organised and detail-focused Governance & Compliance Coordinator to join our award-winning team, based at our Central Office in Reigate. You will play a key role in ensuring our governance processes are well organised, transparent and effective, supporting everything from Board meetings and policy frameworks to risk, compliance and data protection activity. Job Responsibility:
To support the effective coordination and administration of governance processes across Active Prospects, ensuring Board, Committee and Executive governance arrangements operate smoothly and efficiently
To coordinate governance activities including meeting administration, action tracking, policy review schedules and governance reporting processes
To support the organisation in maintaining accurate governance records including policies, risk registers, governance documentation and corporate records
To provide administrative and coordination support for information governance and compliance activities including GDPR processes, records management and data protection monitoring
To support the Quality, Governance and Lived Experience team in maintaining clear governance frameworks that support organisational transparency, accountability and continuous improvement
To assist Executive Leadership Team (ELT) members with ad hoc projects and tasks
Attend Board and Committee meetings and produce clear minutes, decisions and agreed actions
Support the preparation and assembly of Board and Committee papers, ensuring documents are formatted, organised and distributed within agreed timeframes
Coordinate the lifecycle of actions arising from Board, Committee and Executive Leadership Team meetings, ensuring actions are recorded, monitored and followed up with relevant owners
Maintain the organisational policy framework including policy review schedules, version control and approval tracking
Support risk register updates and tracking
Assist with governance reporting
Maintaining and updating the organisation’s Records of Processing Activities (ROPA)
Supporting the tracking and coordination of Subject Access Requests (SARs)
Maintaining the data breach log and supporting follow up actions where required
Supporting the maintenance of the organisation’s data retention schedule
Requirements:
Experience supporting meetings, including preparing papers or taking minutes
Strong written skills with the ability to produce clear and accurate records
Highly organised with the ability to manage competing priorities
Comfortable working with senior colleagues and handling sensitive information
Experience in a regulated environment (e.g. health, care, housing, public sector or charity)
Awareness of governance, compliance or GDPR (formal experience not essential)
