We are looking to recruit an Governance Assistant for the Head of Depositary, Custody and Banking for Europe and the Head of Custody for Europe and to support the wider team across the WCIB business line. As a key member of the team, you will need to be driven, adaptable and highly organized with a flexible approach and the ability to work independently and respond quickly to business needs. The role involves preparation for a number of Governance forums which support the business as well as performing associated and general administrative tasks.
Job Responsibility:
Preparation of Governance packs for key business forums including Depositary Acceptance Group
Ireland Management Forum
Luxembourg Management Forum
Ensuring the packs are appropriate retained on site eg SharePoint for retrieval for auditors / regulatory reviews
Minute taking of the Governance meetings
Providing valuable support to senior executives and the team across a broad variety of administrative tasks including coordinating travel and expenses
Diary management and coordinating calendars for a variety of meetings
Hosting on-site meetings and providing guidance and support to visitors from the US and Europe
Coordinating internal administrative projects including any regulatory review
Creating and updating presentations and decks for client meetings and board meetings
Attending and preparing for meetings with senior stakeholders, taking comprehensive minutes
Maintaining contact lists and distribution groups
Organising social events and initiatives
Ownership of key regulatory items including signatory lists, registrar details, e-sign
Working with the marketing team to update the monthly Depositary Deck with accurate information
Townhall meeting preparation including co-ordination of materials
Ad hoc projects as required
Requirements:
Minimum technical, trade or business school certificate, or equivalent work experience
Three to five years of administrative or operations experience is preferred
Effective communication and relationship building skills
Organisational skills and attention to detail
Professional and helpful demeanor
Ability to multitask in a dynamic changing environment
Ability to handle confidential information with discretion
Proficient in Microsoft Office - including Outlook, Teams & Co-Pilot, Word, Excel, PowerPoint, Visio and SharePoint
