Operational Management: Establish and manage efficient office operations.■ Human Resources (Initial Focus):・Maintain employee records and ensure data accuracy.・Support employee relations and address any HR-related issues.・Vender management■ Accounting & Finance (Initial & Ongoing):・Assist in the preparation of monthly and annual financial reports.・Manage vendor relationships with third-party accounting providers.・Ensure compliance with Japanese accounting standards and tax regulations (potentially liaising with external accounting firms).・Support the budgeting and forecasting processes.・Manage relationships with financial institutions.■ Secretarial & Administrative Support:・Provide comprehensive secretarial support to the CEO, including calendar management, meeting arrangements, and correspondence.・Handle logistics for visits from the headquarters, including travel and accommodation arrangements.・Oversee office administration, including supplies, equipment, and vendor management.Manage office leases and related facility matters.・Support internal and external communication efforts, including communication with the headquarters in English.・Assist with travel arrangements and other administrative tasks as needed.・Support the CEO with various operational and strategic initiatives.・Develop and maintain organized filing systems and documentation.

Requirements:

  • Approximately 5-7 years of relevant experience encompassing operations, general affairs, HR, accounting basics, and secretarial duties
  • Fluent in both Japanese and English (business level is a must)
  • Strong understanding of Japanese labor law and HR best practices
  • Solid knowledge of basic accounting principles and practices in Japan
  • Experience managing relationships with external vendors, particularly accounting firms
  • Excellent organizational and multitasking skills, with the ability to prioritize and manage multiple responsibilities effectively
  • Strong communication and interpersonal skills
  • Proactive and self-motivated with a strong sense of ownership and responsibility
  • Ability to work independently and as part of a small, dynamic team
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint)
  • Experience working in a startup environment is highly desirable
