Job Responsibility:
Office Operations & Internal Coordination: Purchasing supplies and maintaining stock for office + warehouse
New vendor setup and ongoing vendor communication
Document control and organizing critical company records
Email and phone communication with customers, employees, and vendors
Supporting management, field service technicians, warehouse staff, and construction teams
Handling multiple issues at once — especially during busy morning kickoff hours
Keeping timelines tight and business operations predictable
Bookkeeping & Financial Support: A/R → invoicing, customer billing, and collections support
A/P → processing bills, coding expenses, and ensuring timely payments
Reconciliations → basic account reconciliations to keep finances clean and accurate
Preparing financial information for an outside accounting/payroll firm
Gathering weekly timesheets, reviewing job allocations, and prepping payroll for CPA submission
Supporting annual insurance updates and helping maintain compliance with state organizations
Helping manage 5,000+ invoices per year with precision
Field & Warehouse Support: Maintaining accurate work orders
Tracking parts and product placement
Coordinating with technicians to ensure jobs are documented correctly
Making sure billing and paperwork stay aligned
Protecting timelines, jobs in progress, and cash flow predictability
Requirements:
Have strong experience with office operations and bookkeeping- specifically while using QuickBooks
Enjoy fast‑paced days with lots of variety
Are highly organized and detail‑oriented
Communicate clearly, personably and professionally
Are tech‑savvy and enjoy improving workflows
