Handling the Front desk and maintaining daily activities; Assisting daily visitors & co-ordinating them with the concern person; Handling local / international calls and transferring the calls to the concerned dept./person; Keeping a track of Social engineering calls; Keeping a check of meeting rooms; Escorting visitors; Booking of meeting rooms; Managing the medical aid and replenishing the same; Co-ordinating with the CEM team with the issues related to their team; Co-ordinating with facility exec. / AFM for issues related to facilities etc.; Managing the reception area relating to maintenance.; Assisting client during any events etc.; Handling helpdesk whenever required.; Provide Call handling services in accordance with the service guidelines; Assign and Dispatch - Assign specific service provider based on the nature of request / complain; Receive and log complaints - Record complete details of the service requests / complaints from employees of XXX Bank AG. Assign Unique Identity numbers for all service requests / complaints; Follow- up on completion - Close service requests by regularly following up with respective service assignee and record response times; Occupier feedback - Communicate with requestor to ensure call closure, request status, reasoning and commit on probable timing of call closure; Reporting - Prepare daily reports on self identified call status and assist Building Engineers in analysis of type of requests; Provide assistance in general administrative activities as required; Participate in Emergency Evacuation procedures including crisis management and business continuity.; Manage all Health and Safety issues and actively participate in Health and Safety reviews; Assist with the re-sourcing of other aspects of Jones Lang LaSalle’s operation as required; Perform other duties as required by Jones Lang LaSalle and XXX Bank AG; Work closely with Administration; Work closely with Engineering and Facilities in relation to the completion of work orders/ contractor management and agreed operational procedures
