Job Responsibility:
Greet and assist visitors, ensuring a welcoming and organized reception area
Manage incoming calls, providing accurate information and redirecting inquiries as needed
Handle document scanning and organization to maintain efficient record-keeping
Perform a variety of clerical tasks such as filing, data entry, and correspondence preparation
Utilize software tools to toggle between systems and complete administrative duties
Coordinate communication between departments to facilitate smooth operations
Support scheduling and calendar management to ensure timely appointments and meetings
Maintain office supplies inventory and place orders as necessary
Assist in organizing and preparing materials for meetings or presentations
Uphold confidentiality and accuracy in handling sensitive information
Requirements:
Bilingual proficiency in English and Spanish is required
At least 2 years of experience in an office assistant or receptionist role
Proficient in Microsoft Word, Outlook, and other office software
Ability to multitask and manage multiple systems effectively
Excellent verbal and written communication skills
Strong organizational abilities and attention to detail
Capability to handle inbound calls professionally and efficiently
