We are looking for a Front Desk Coordinator to join our team in Columbia, Illinois, on a Contract to permanent basis. In this role, you will serve as the first point of contact for visitors and ensure smooth daily operations within the office environment. This position requires excellent organizational skills, a detail oriented approach, and the ability to multitask effectively.
Job Responsibility:
Welcome visitors and provide assistance with office-related inquiries
Manage incoming mail by sorting and distributing it appropriately
Monitor and replenish office supplies, placing orders as necessary
Coordinate meetings and maintain schedules and calendars for staff
Organize and file documents both electronically and physically
Deliver administrative support to both management and team members
Maintain a clean, organized, and detail oriented office environment
Handle multi-line phone systems, including answering inbound calls and directing them as needed
Provide concierge-style services to support staff and visitors
Perform additional administrative tasks as assigned to support office operations
Requirements:
Proven experience in receptionist or front desk roles
Proficiency in handling multi-line phone systems and inbound call management
Strong organizational skills with attention to detail
Ability to manage schedules and coordinate meetings effectively
Familiarity with document filing and office supply management
Excellent verbal and written communication skills
Ability to maintain professionalism when interacting with visitors and staff
Proficiency in basic office software and tools
