We are looking for an experienced Front Desk Coordinator to support daily front office operations for a Contract position based in Columbia, Maryland. This role serves as the first point of contact for visitors, callers, and internal teams, helping create an organized and efficient office environment. The ideal candidate brings strong communication skills, confidence managing multiple administrative tasks, and a service-oriented approach to workplace support.
Job Responsibility:
Welcome visitors, manage front desk traffic, and ensure guests are directed promptly and courteously
Handle incoming calls through a multi-line phone system, route messages accurately, and respond to routine inquiries with care
Provide concierge-style assistance by supporting general office needs and helping employees and visitors navigate day-to-day requests
Process incoming and outgoing mail, organize deliveries, and maintain orderly distribution of correspondence throughout the office
Scan, file, and maintain documents to support accurate recordkeeping and efficient administrative workflows
Coordinate email communications and assist with routine correspondence on behalf of the office or assigned team members
Perform a range of administrative support duties to help maintain smooth front office and business operations
Requirements:
Prior experience in a front desk, receptionist, or administrative support role within a detail-oriented office setting
Ability to manage a multi-line phone or switchboard system while maintaining a courteous and efficient demeanor
Strong verbal and written communication skills with the ability to interact effectively with visitors, staff, and external contacts
Proven organizational skills and the ability to handle multiple tasks with accuracy and attention to detail
Experience with document scanning, mail handling, and general office administrative processes
Comfortable using email and standard office technology to support daily operations
Reliable customer service mindset with strong interpersonal skills
