We are looking for a detail-oriented Front Desk Coordinator to support daily operations for a property management office in New Jersey. This contract-to-permanent opportunity is ideal for someone who enjoys creating a welcoming environment while keeping Front office activity organized and accurate. The person in this role will manage resident and visitor interactions, handle administrative tasks, and maintain dependable records using office and property management systems.
Job Responsibility:
Welcome residents, guests, and vendors at the front desk while ensuring building access is handled according to established procedures
Manage incoming calls through a multi-line phone system, direct inquiries appropriately, and provide courteous front-line assistance
Oversee key distribution and tracking to maintain accurate control of access items and related records
Perform clerical support such as preparing correspondence, updating documents, and organizing routine administrative information
Review spreadsheet data for completeness and accuracy, making corrections as needed to keep records reliable
Enter information from paper files into computer-based systems and assist with converting manual records into digital formats
Create, format, and maintain reports, letters, and other office materials using Microsoft Office applications
Use BuildingLink and related back-office tools to update property information and support day-to-day office workflows
Requirements:
At least 3 years of experience in a front desk, receptionist, administrative support, or similar customer-facing role
Ability to manage receptionist and concierge-style responsibilities in a detail-oriented onsite office setting
Experience handling inbound calls on a multi-line or switchboard phone system
Strong working knowledge of Microsoft Office Suite, including Excel for data review and spreadsheet updates
Comfortable performing detailed data entry, record verification, and document preparation with a high level of accuracy
Strong written and verbal communication skills with the ability to interact effectively with residents, staff, and visitors
Familiarity with property management or condominium office operations is preferred
