We are looking for a detail-oriented and organized Front Desk Coordinator to join a non-profit organization in Colorado Springs, Colorado. In this Contract to permanent position, you will serve as the first point of contact for visitors and callers, ensuring smooth communication and maintaining a welcoming office environment. This role involves a blend of administrative, clerical, and customer service duties.
Job Responsibility:
Answer incoming calls, provide information, take messages, and route calls to the appropriate departments or individuals
Greet and assist visitors warmly, ensuring they sign in and comply with security protocols
Maintain an updated directory of office extensions and personnel to facilitate seamless communication
Perform general clerical tasks such as photocopying, scanning, filing, and organizing documents
Keep the front desk area clean, organized, and stocked with necessary supplies
Support case coordinators by accurately filing and managing client information
Communicate with clients in a courteous manner to address inquiries and provide assistance
Coordinate and schedule appointments for clients and staff, ensuring effective calendar management
Prepare and distribute client-related materials, notices, and reminders
Maintain confidentiality of sensitive client and office information while managing databases and records
Requirements:
High school diploma or equivalent
Proven experience in a front desk, receptionist, or customer service role
Excellent verbal and written communication skills
Strong organizational skills with the ability to multitask and prioritize effectively
Proficiency in managing multi-line phone systems and handling inbound calls
Familiarity with clerical duties such as filing and data entry
Ability to maintain accurate records and manage electronic databases
Friendly and detail-oriented demeanor, especially in a fast-paced environment
