We are looking for a dedicated and detail-oriented Front Desk Coordinator to join our team in Saint Paul, Minnesota. In this long-term contract position, you will play a vital role in maintaining smooth front desk operations and ensuring excellent service for visitors and callers. Job Responsibility:
Greet and assist walk-in visitors, ensuring a welcoming and detail-oriented environment
Manage a multi-line phone system, directing inbound calls to the appropriate individuals or departments
Provide concierge-level services by addressing inquiries and offering guidance as needed
Handle incoming and outgoing mail, including sorting, distributing, and preparing correspondence
Maintain paper filing systems to ensure records are organized and easily accessible
Support the team by managing administrative tasks such as scheduling and data entry
Address and resolve basic inquiries or direct them to the appropriate personnel for further assistance
Ensure the reception area is tidy and well-maintained at all times
Utilize Microsoft 365 tools effectively to support daily administrative operations
Requirements:
Proven experience in receptionist or front desk roles, preferably in a non-profit setting
Proficiency in handling multi-line phone systems and managing call transfers
Strong organizational skills and attention to detail for tasks like filing and mail distribution
Competency in Microsoft 365 Enterprise applications, including Outlook and Word
Excellent verbal and written communication skills for interacting with visitors and staff
Ability to handle multiple tasks simultaneously while maintaining a positive demeanor
Familiarity with general office equipment and administrative procedures
A customer-focused approach and the ability to work collaboratively in a team environment
