We are looking for an organized and detail-oriented Front Desk Coordinator to join our team on a Contract basis in Seattle, Washington. In this role, you will be the first point of contact for visitors, ensuring a welcoming and efficient front desk experience. You will also support administrative tasks, facilities management, and security operations to maintain a safe and productive environment.
Job Responsibility:
Welcome and assist visitors, clients, and vendors with a friendly and attentive demeanor
Oversee the organization and cleanliness of the reception area, lobby, and shared spaces
Handle incoming and outgoing mail, ensuring timely sorting and distribution
Perform administrative duties such as filing, data entry, and document preparation
Collaborate with the Facilities Manager to coordinate vendor visits and document service outcomes
Maintain inventory of office supplies and place orders as needed
Assist with meeting and event preparations, including room setup and cleanup
Perform light maintenance tasks, such as moving small furniture, basic painting, and minor repairs
Manage life safety systems by scheduling tests, coordinating servicing, and training staff
Oversee building security, including visitor access, alarm systems, and after-hours protocols
Requirements:
Proven experience in administrative support or a front desk role
Strong customer service and interpersonal skills to interact effectively with diverse groups
Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
Ability to manage multi-line phone systems and handle inquiries efficiently
Excellent organizational skills with attention to detail and the ability to prioritize tasks
Comfortable performing light maintenance and custodial duties when required
Familiarity with safety and security protocols, including visitor management systems
Ability to work independently and maintain professionalism in a fast-paced environment
