We are looking for a Front Desk Coordinator to support daily office operations for an education-focused environment in Newark, New Jersey. This Long-term Contract position is ideal for someone who enjoys creating a welcoming experience for students and visitors while keeping front desk activities organized and responsive. The role combines reception support, student-facing assistance, and administrative coordination to help ensure efficient service across the office.
Job Responsibility
Welcome students, staff, and guests at the front desk and provide attentive in-person assistance throughout the day
Guide students through intake and registration steps related to disability support services, ensuring information is handled accurately and promptly
Prepare and distribute accommodation documentation to students and relevant parties in accordance with office procedures
Record inquiries, forms, and supporting materials in the organizational database, including assigning cases to appropriate coordinators and maintaining accurate tracking details
Answer and route inbound calls using a multi-line phone system, responding to questions or directing callers to the appropriate contact
Work closely with internal departments such as Human Resources, IT, facilities, and campus teams to support communication and day-to-day office needs
Manage incoming and outgoing mail, ensuring timely collection, sorting, and delivery
Provide general administrative and front desk support as needed to maintain smooth office operations
Requirements
Prior experience in a front desk, receptionist, concierge, or customer-facing administrative role
Ability to manage a multi-line phone system and handle inbound calls with professionalism and efficiency
Strong interpersonal skills with the ability to assist students, visitors, and staff in a courteous and helpful manner
Comfortable entering and updating records in a database with a high level of accuracy and attention to detail
Capable of organizing multiple tasks in a busy office setting while maintaining a dependable and service-oriented approach
Clear written and verbal communication skills for coordinating with students and internal departments
Experience handling administrative tasks such as mail distribution, document processing, and general office support is preferred
