We are looking for a Front Desk Coordinator to join our team on a contract basis in Palo Alto, California. In this role, you will serve as the first point of contact for visitors and callers, ensuring attentive and efficient interactions. This part-time position requires excellent communication skills and the ability to handle multiple tasks in a fast-paced environment.
Job Responsibility:
Greet and assist visitors and clients in a friendly and attentive manner
Manage a multi-line phone system, including answering inbound calls and directing them appropriately
Provide concierge services to meet the needs of guests and staff
Handle switchboard operations efficiently, managing phone lines ranging from 1 to 10
Maintain an organized and welcoming reception area
Coordinate scheduling and appointments as needed
Respond promptly to inquiries and provide accurate information
Support administrative tasks and collaborate with team members to ensure smooth daily operations
Uphold company standards and maintain confidentiality in all interactions
Requirements:
Proven experience in receptionist or front desk roles
Proficiency in managing multi-line phone systems and switchboards
Strong customer service and interpersonal skills
Ability to multitask and prioritize tasks effectively
Excellent verbal and written communication abilities
Detail-oriented with strong organizational skills
Commitment to professionalism and maintaining confidentiality
Nice to have:
Familiarity with concierge services is a plus
