We are looking for a detail-oriented and welcoming Front Desk Coordinator to join our team in Houston, Texas. In this Contract to permanent position, you will play a key role in ensuring smooth day-to-day operations by managing the front desk, supporting office activities, and delivering excellent guest experiences. The ideal candidate is organized, detail-oriented, and able to multitask in a fast-paced environment.
Job Responsibility:
Greet visitors, clients, and employees warmly while maintaining an attentive and friendly atmosphere at the front desk
Keep the front office area clean, organized, and visually presentable at all times
Oversee breakroom supplies, including stocking beverages, snacks, and kitchen essentials, while monitoring inventory levels and coordinating replenishment
Ensure common areas, such as the breakroom and conference rooms, are clean and well-maintained
Manage conference room scheduling, meeting calendars, and logistics such as catering, room setup, and technology requirements
Assist with planning and executing internal meetings and events, ensuring all details are handled effectively
Provide administrative support to the Executive Assistant, including coordination of office tasks and special projects
Maintain office supplies, coordinate with vendors, and ensure timely restocking of essential items
Handle incoming mail and packages by sorting and distributing them appropriately, as well as coordinating outgoing shipments and deliveries
Track and manage package logs to ensure accurate documentation
Requirements:
Experience in receptionist duties, including greeting guests and managing front desk operations
Proficiency in handling multi-line phone systems and efficiently managing inbound calls
Strong organizational skills for managing office supplies and maintaining common areas
Ability to provide administrative assistance and support for special projects
Familiarity with scheduling and coordinating meetings, including logistics such as catering and technology
Excellent communication skills and customer service orientation
Capability to track and manage mail and package handling processes
Nice to have:
Previous experience in concierge services or similar roles is a plus
