We are looking for a Front Desk Coordinator to join our clients team in Portland, Oregon. This contract position requires someone who can efficiently manage front desk operations while delivering exceptional customer service. The ideal candidate will possess strong organizational skills and demonstrate proficiency in administrative tasks. Please note that this is a part time position.
Job Responsibility:
Manage incoming calls using a multi-line phone system and direct them appropriately
Greet visitors and clients with a detail-oriented and welcoming demeanor
Perform accurate data entry tasks to maintain records and documentation
Organize and maintain files to ensure information is easily accessible
Provide concierge services to assist clients and visitors with requests
Handle administrative tasks such as scheduling, correspondence, and preparing documents
Utilize Microsoft Excel, Outlook, and Word for daily operations and reporting
Collaborate with team members to ensure smooth office operations
Maintain an organized and clean front desk area
Address customer inquiries and resolve issues promptly
Requirements:
Proven experience in administrative assistance or a similar role
Familiarity with multi-line phone systems and the ability to handle calls efficiently
Strong customer service skills and a detail-oriented approach
Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word
Excellent organizational skills and attention to detail
Ability to perform accurate data entry and manage files effectively
Outstanding interpersonal skills with the ability to interact with diverse individuals
Previous experience in concierge services or front desk operations is preferred
