We are looking for a dedicated and organized Front Desk Coordinator to join our team near Totowa, New Jersey. In this role, you will serve as the first point of contact for visitors and callers, ensuring smooth communication and efficient operations. This is a long-term contract position offering the opportunity to contribute to a dynamic and detail-oriented environment.
Job Responsibility:
Greet and assist visitors, providing a welcoming and detail-oriented atmosphere
Manage incoming calls, directing them to the appropriate departments or individuals
Organize and handle legal correspondence with attention to detail and confidentiality
Maintain an orderly front desk area, ensuring all materials and supplies are readily available
Coordinate scheduling and appointments to support the team’s daily operations
Handle administrative tasks, including filing, data entry, and document management
Respond promptly to inquiries and ensure accurate communication between departments
Support various office activities to enhance overall workflow efficiency
Collaborate with team members to address operational needs and challenges
Uphold company policies and procedures in all front desk activities
Requirements:
Proven experience in receptionist or front desk roles
Strong ability to answer and manage inbound calls effectively
Familiarity with handling legal correspondence and maintaining confidentiality
Excellent organizational and multitasking skills
Ability to maintain a detail-oriented approach in all interactions
Proficiency in basic office software and tools
Strong communication skills, both verbal and written
