We are looking for a dedicated and personable Front Desk Coordinator to join our team in Brooklyn Park, Minnesota. This position offers the opportunity to be the first point of contact for visitors, ensuring a welcoming and attentive environment. As an integral part of our operations, you will handle administrative tasks, provide customer service, and assist with various office functions. This is a long-term contract role with a focus on delivering exceptional support to both internal teams and the public.
Job Responsibility:
Greet and assist visitors, ensuring they feel welcomed and directing them to the appropriate destinations
Address complex or sensitive inquiries by referring them to the appropriate staff or department
Process utility bill payments received via drop box or walk-in, ensuring accurate handling and documentation
Manage conference room bookings and public appointment scheduling, while maintaining updated lobby screen information
Perform mailroom tasks, such as operating mailroom equipment and handling incoming and outgoing correspondence
Answer and manage multi-line phone systems, ensuring calls are routed appropriately and messages are relayed efficiently
Deliver concierge-style services to enhance the visitor experience and maintain smooth front desk operations
Requirements:
Strong customer service skills with the ability to handle inquiries and complaints professionally
Proficiency in managing multi-line phone systems and switchboards
Familiarity with administrative tasks, such as scheduling, payment processing, and mailroom operations
Excellent verbal and written communication skills to interact effectively with visitors and staff
Ability to prioritize and manage multiple tasks in a fast-paced environment
Attention to detail and accuracy in handling payments and administrative duties
Comfortable working onsite and adhering to organizational policies and protocols
