Job Description:

We are looking for a detail-oriented and personable Front Desk Coordinator to join our team in Boston, Massachusetts. In this long-term contract position, you will play a key role in creating a welcoming environment for visitors and ensuring smooth day-to-day operations at the front desk. This role is ideal for someone with strong organizational skills, attention to detail, and a passion for delivering exceptional customer service.

Job Responsibility:

  • Welcome visitors and clients with a friendly and attentive demeanor, ensuring they feel valued and well-assisted
  • Manage a multi-line phone system, directing calls to the appropriate departments or individuals efficiently
  • Handle scheduling, appointments, and other administrative tasks to support office operations
  • Maintain an organized and presentable reception area, ensuring it is clean and welcoming at all times
  • Perform data entry tasks with accuracy, ensuring records and databases are kept up-to-date
  • Provide concierge services by assisting visitors and staff with inquiries and special requests
  • Organize and maintain files, ensuring documents are easily accessible and properly stored
  • Coordinate with other departments to ensure seamless communication and efficient workflow
  • Utilize Microsoft Word, Excel, and Outlook to manage correspondence, schedules, and documentation

Requirements:

  • Proven experience in a front desk or administrative role with a strong focus on customer service
  • Proficiency in using Microsoft Excel, Word, and Outlook for administrative tasks
  • Skilled in managing multi-line phone systems and directing calls appropriately
  • Exceptional interpersonal and communication skills, both verbal and written
  • Strong organizational abilities with attention to detail and the ability to multitask effectively
  • Experience in data entry with a high degree of accuracy
  • Ability to maintain a detail-oriented and welcoming demeanor in a fast-paced environment
  • Familiarity with concierge services or assisting with visitor inquiries is a plus
