We are looking for a Front Desk Assistant to join our team in Banning, California. This is a Contract to permanent position where you will play a key role in ensuring smooth operations and providing exceptional service to residents and guests. The ideal candidate will have strong administrative skills, a customer-focused mindset, and the ability to manage multiple tasks efficiently.
Job Responsibility:
Coordinate and oversee the scheduling of facilities, meeting with individuals and groups to identify needs and arrange setups
Assist in planning and supervising a variety of special events, including community celebrations, concerts, and dinner dances
Prepare marketing materials and maintain the community's master calendar, ensuring accurate and timely updates
Manage incoming calls on a multi-line phone system, directing inquiries and taking messages as needed
Greet visitors warmly, providing information, directions, and assistance
Address resident and guest inquiries professionally, ensuring their needs are met
Handle sales of tickets for special events and manage equipment check-outs, including table tennis and billiards
Stock informational materials and maintain bulletin boards with current community updates
Research and compile reports, statistical data, and special projects as required
Support the Recreation Manager in developing departmental goals, policies, and objectives
Requirements:
Minimum of 2 years of experience in reception, administrative, or front desk roles
Proficiency in handling multi-line phone systems and inbound calls
Strong skills in data entry and report creation
Familiarity with Word and Excel
Ability to prioritize tasks and remain calm in high-pressure situations
Excellent oral and written communication skills
Must interact effectively with residents and guests
Valid California driver's license and current automobile insurance required
