Job Description

We are looking for an experienced and service-oriented Front Desk Coordinator to support daily office operations in Waltham, Massachusetts. This is a Contract position expected to run for approximately 3 months and will play an important role in creating a welcoming onsite environment. The ideal candidate brings strong communication skills, a positive presence at the front desk, and a proactive approach to keeping workplace activities organized and running efficiently.

Job Responsibility

  • Welcome employees, guests, and vendors with a courteous and attentive approach while serving as the first point of contact for the office
  • Manage a multi-line phone system by answering incoming calls promptly, directing inquiries accurately, and ensuring callers receive a helpful experience
  • Coordinate front desk activities and day-to-day workplace support to maintain an orderly office setting
  • Assist with onsite office needs during the summer support period, helping staff and visitors with questions and general administrative requests
  • Organize workplace logistics and monitor shared spaces to help the office operate smoothly and efficiently
  • Communicate clearly with internal teams and external visitors to support scheduling, arrivals, and general office flow
  • Provide concierge-style assistance by anticipating needs, resolving routine issues, and escalating more complex matters when appropriate

Requirements

  • Prior experience in a front desk, reception, workplace services, or customer-facing administrative role
  • Ability to present effectively and interact with employees, executives, and visitors in a detail-oriented manner
  • Strong customer service skills with a helpful, solutions-focused attitude
  • Experience handling inbound calls and operating a multi-line or switchboard phone system
  • Excellent organizational skills with the ability to manage multiple tasks in a fast-paced onsite environment
  • Clear verbal and written communication skills, along with a willingness to support overall office operations
  • Availability to work onsite in Waltham, Massachusetts for the duration of the contract
  • Ability to complete a required screening process
