Job Description

The Front Desk and Administration Officer is a member of the Experience Team and is the first point of contact for visitors and callers, responsible for smooth daily operations, ensuring that office facilities are well-maintained where needed, and offering effective administrative support, as well as planning and supporting employee events (in person and remotely).

Job Responsibility

  • Greet, welcome and assist visitors, clients and partners in a professional and courteous manner
  • Maintain safe, tidy and welcoming reception area, including monitoring logbook, coordination of guest passes and security protocols
  • Manage the meeting and conference room schedules and assist in organization
  • Answers all incoming calls and redirects them or takes messages
  • Manage incoming and outgoing correspondences (mail, couriers, express shipment) and maintain accurate records
  • Manage the receipt and logs all equipment for workshop repairs
  • Monitor and maintain office supplies, including stationery and groceries. Place orders and manage procurement within approved budgets
  • Handle travel arrangements (flight, accommodation, transport) for staff and executives and manage itineraries
  • Maintain and organise physical and electronic filing systems
  • Assist in planning, coordination and execution of company employee events, and activities (in person and remote) that foster engagement, culture and collaboration across global teams
  • Manage events logistics and maintain appropriate filling system
  • Act as a liaison between the Cyprus office and global teams (in person and via Teams channels). Maintain excellent communication and cooperate well with all departments

Requirements
