We are looking for a Front Desk Administrator to support daily office operations in Ayer, Massachusetts. This Long-term Contract position is ideal for someone who can create a welcoming front-office experience while also assisting with administrative and HR-related tasks. The person in this role will serve as a key point of contact for visitors, callers, and internal staff, helping keep the office organized and responsive.
Job Responsibility:
Welcome visitors, manage front desk activity, and ensure guests are directed promptly and professionally
Handle a multi-line phone system, screen incoming calls, and route messages to the appropriate team members
Respond to email inquiries and support day-to-day communication with employees, candidates, and external contacts
Assist with administrative HR activities such as maintaining records, preparing documents, and coordinating routine employee-related processes
Support general office operations by organizing paperwork, tracking supplies, and keeping shared areas presentable
Schedule appointments, meetings, and other front-office activities to help maintain an efficient daily workflow
Provide coverage for duties previously managed by the office manager and help ensure continuity across administrative functions
Requirements:
Prior experience in a front desk, receptionist, or office administration role
Ability to manage a multi-line phone system and handle a high volume of inbound calls with professionalism
Working knowledge of HR administrative support and confidential document handling
Strong written communication skills for managing email correspondence clearly and accurately
Excellent organizational skills with the ability to balance multiple tasks throughout the day
Comfortable interacting with visitors, employees, and leadership in a courteous and service-oriented manner
