A West Palm Beach office is seeking a skilled Front Desk Administrator to act as the first point of contact for clients and guests. This role is critical to the day-to-day operations and image of the firm, requiring exceptional professionalism, organization, and communication skills.
Job Responsibility:
Greet and welcome visitors, managing check-in procedures with discretion and professionalism
Answer and direct incoming phone calls, screening and transferring as appropriate
Maintain conference room schedules and prepare meeting spaces in advance
Manage courier and mail distribution, including handling sensitive and confidential materials
Support travel and meeting arrangements for executives and staff
Handle data entry, expense reports, and basic invoice processing
Order office supplies and coordinate with building management or vendors for facility needs
Assist with special projects and provide administrative support across departments as needed
Requirements:
Prior administrative or front desk experience in financial services or professional office setting preferred
Excellent verbal and written communication skills
Strong organizational abilities
able to manage multiple priorities and adapt to changing needs
Professional appearance and demeanor
High proficiency with MS Office Suite (Word, Excel, Outlook)
